What documents does a letting agent need from a tenant applicant?

From an individual tenant, the documents are:

  • proof of identity, a passport or national ID card;
  • proof of income: the last three months’ payslips, or the latest accounts or tax return if self-employed;
  • the last three months’ bank statements, where you ask for them;
  • a reference from the current or previous landlord, if they have one.

Alongside those: employment status and net monthly income, the current landlord or agent and how to contact them, how long they have lived at their address and why they are moving, how many people will live in the property, pets and smoking, a guarantor’s name and contact if one is needed, and signed consent to referencing, credit and identity checks. For a company let, add the company registration certificate, its latest accounts or three months of business bank statements, and proof of identity from each occupant or signatory.

Why tenant applications stall before referencing

  • Two applicants want the same flat. One sent payslips on WhatsApp, the other by email, and neither has sent ID.
  • An applicant sends one payslip instead of three, and you only notice when the referencing is due to start.
  • A guarantor was mentioned on the phone at the viewing, but nobody has their name or number.

The company side is filled in by the person managing the application; each invited occupant or signatory only fills in their own identity. The consents are recorded with the application; the referencing, credit and identity checks themselves are carried out by you or your referencing provider. One application link, sent after the viewing

Send the link to anyone who wants to go ahead, or put it in your follow-up email. It opens on your own subdomain with your logo and colours, and a company let and an individual tenant each see only their own questions.

Give it a deadline, then stop chasing

Set a due date and a reminder interval. Intaky emails the applicant every few days until they finish, only during working hours in your timezone, and stops after six nudges. On a company let, each occupant gets their own invitation and their own short list.

Accept, or send one thing back

When a payslip is from last year, reject that one item with a note. Everything you already accepted stays locked, and every step is kept in the audit trail. Then export the finished application as a PDF with the documents attached, ready for referencing.

Questions about tenant applications

What documents should a tenant provide when applying to rent?

Usually a passport or national ID card, the last three months' payslips (or the latest accounts or tax return if self-employed), recent bank statements, and a reference from the current or previous landlord. The agent also needs the applicant's employment and income, household details, a guarantor if one is required, and signed consent to referencing. Intaky's tenant screening template asks for all of these, and you can rename, remove or add to any of them.

How do I stop chasing tenant applicants for payslips and ID?

Send each applicant one application link with a due date and let the reminders do the chasing. Intaky emails the applicant every few days until everything is in, only during working hours in your timezone, and stops after six reminders. You see which applicants have finished and exactly which items the others still owe.

How do I collect ID from every occupant on a company let?

The person arranging the let for the company invites each occupant or signatory by email. Each one fills in only their own identity section, with date of birth, current address and a passport or ID card, while the person managing the application answers the company questions and can see who has not finished yet.

Can an applicant send three months of payslips as one item?

Yes. Proof of income and bank statements each accept several files, so three payslips are one item on the checklist, not three. PDF, Word, Excel and photos are accepted, up to 10 MB each.

What happens when an applicant sends the wrong document?

You reject that one item with a note saying what is wrong, for example a payslip that is older than three months. The applicant sees the note and replaces only that item; everything you have already accepted stays locked.

Can the application form carry our agency's branding?

Yes. Your logo and colours appear on your own subdomain, on every page the applicant sees.

Does Intaky do the tenant referencing or credit check?

No. Intaky collects the documents, the landlord and guarantor contacts, and the applicant's signed consent to referencing, credit and identity checks; your agency or your referencing provider carries out those checks and any right-to-rent check you are required to make. A webhook can push an approved case into your own systems, and the PDF export gives you the whole application with its documents for your file.
