What information does an insurance broker need from a client?

For personal cover (health, life, motor, home, travel):

  • proof of identity: a passport, national ID card or driving licence;
  • the type of cover, the amount and start date wanted, and the current or previous insurer, with the expiring policy schedule if there is one;
  • a description of what or who is being insured, including medical conditions the client must disclose for health or life cover, and its estimated value;
  • ownership or registration papers and a professional valuation, for property, vehicles or valuables;
  • claims in the last five years, and whether the client has ever been refused insurance or had a policy cancelled.

Each ends with a declaration that everything relevant has been disclosed, and consent to any health information being processed to assess the application. For a business: the company registration certificate and number, business address, industry, employees and turnover, the cover wanted (public liability, professional indemnity, property, fleet, group health), a description of its activities and risks, its claims record with an insurer-issued claims history if available, and a fair presentation declaration from the person arranging the cover.

Why insurance applications come back incomplete

  • Renewal is in two weeks and the client cannot find the expiring schedule. You ask three times.
  • Claims history is given over the phone and the dates are never written down, so the insurer asks for them again.
  • A business client sends turnover in one email and forgets headcount, and the quote comes back waiting on it.
  • Whether the client has ever had a policy cancelled was asked at the first meeting, and nobody can find the answer.

How it runs for a brokerage

One link per line of cover

Make a "Home insurance" link and a "Commercial liability" link on your own subdomain, with your logo and colours. Each has its own questions and documents, so a client only ever sees what applies to their cover.

Send it ahead of renewal, then stop chasing

Give the link a due date before the renewal and a reminder interval. Intaky emails the client every few days until they finish, only during working hours in your timezone, and stops after six nudges.

Accept, or send one thing back

When the schedule is from the wrong year, reject that one item with a note. Everything you already accepted stays locked, and every step is kept in the audit trail. Export the finished application as a PDF with the documents attached, ready to go to market.

Questions about insurance applications

What information does an insurance broker need from a client to arrange cover?

Proof of identity, the type of cover, the amount and start date wanted, the current or previous insurer and the expiring policy schedule, a description of what or who is being insured, its estimated value, claims in the last five years, and whether the client has ever been refused insurance or had a policy cancelled. How do I stop chasing clients for renewal documents?

How do I get clients to disclose previous claims and cancellations?

Ask for them in writing, every time, as part of the application. The template asks for claims in the last five years with date, what happened and amount paid, asks whether the client has ever been refused insurance or had a policy cancelled, and ends with a declaration that everything relevant has been disclosed, so the answers are on file rather than in a phone call.

What happens when a client sends the wrong document?

You reject that one item with a note saying what is wrong, for example a policy schedule from two years ago. The client sees the note and replaces only that item; everything you have already accepted stays locked.

Can the application carry our brokerage's branding?

Yes. Your logo and colours appear on your own subdomain, on every page the client sees.

Does Intaky quote, underwrite or place the insurance?

No. Intaky collects the application, the documents and the client's declarations; your brokerage reviews them, approaches insurers and arranges the cover, and the insurer underwrites it.
