What documents does a fleet need from a new driver?
Delivery firms, courier companies and ride-hailing fleets generally need the same set from every driver before their first shift:
- A driving licence, front and back, with its number, class and expiry date.
- Vehicle registration for a motor vehicle, with make, model, plate number and year.
- A valid insurance certificate covering a motor vehicle for this work; a bicycle needs none.
- Proof of identity (passport or national ID card), date of birth, phone, national ID number and a profile photo.
- The city and areas they will work in, and bank details for payouts.
- Consent to background and driving record checks, and a criminal record certificate where the city requires one.

Reminders instead of follow-up messages
Give the link a due date and a reminder interval. Intaky emails the driver every few days until onboarding is complete, only during working hours in your timezone, and stops after six reminders.
Accept, or send back one item
Accept the licence, send back expired insurance with a note. Accepted items stay locked, and each decision is recorded on the case’s audit trail. On approval, a signed webhook can tell your own system, and the PDF export keeps the file.

How do I onboard new drivers faster without chasing documents?

What documents do delivery and ride-hailing drivers need to provide?
Usually proof of identity, a driving licence, front and back, vehicle registration for a motor vehicle, a valid insurance certificate for a motor vehicle, a profile photo, and in some cities a recent criminal record certificate. Alongside those come licence number, class and expiry, vehicle details, the service area and bank details for payouts. Intaky's driver template starts with all of these, and you can rename, remove or add to any of them.
Can couriers on bicycles use the same onboarding form?
Yes. Bicycle is one of the vehicle types, and the plate number and vehicle registration are marked as needed only for a motor vehicle. Vehicle insurance is marked the same way: needed for a motor vehicle, not for a bicycle. There are no conditional questions, so these are optional in the template and your team checks them for motor vehicles.
How do I collect driver bank details for payouts?
The payout details section asks for the account holder name, bank name and account number or IBAN, labelled as used only to pay out earnings. Intaky only collects these details; payouts happen in your own payment system.
What happens when a driver uploads an expired licence or insurance?
You reject that one item with a note, for example that the insurance certificate has expired. The driver uploads a new one for only that item; everything you have already accepted stays locked.
Can we pass approved drivers into our own dispatch system?
Yes, through a signed webhook that fires when a case is approved, which your own system can receive. There are no built-in connectors to specific platforms. Each case can also be exported as a PDF with its documents.
Does Intaky check driving licences, identity or criminal records?
No. Intaky collects the licence, proof of identity, the other documents, the national ID number and the driver's consent to background and driving record checks; your team runs those checks with the proper services and decides who drives. The template asks for a national ID number but no identity document, so add one in the form builder if you need it.
