For schools, colleges & course providers

Admissions applications that arrive complete, with transcripts, ID and statement in one place.

Half the applications in the pile are missing a transcript, a photo or a signature. Intaky gives applicants one checklist link for the whole admissions application, chases what is missing on its own, and shows your team exactly which applicants still owe what.

What documents does an admissions team need from an applicant?

Most schools, colleges and course providers ask an applicant for the same core set, alongside their answers about the programme and their previous studies:

  • Proof of identity, such as a passport or national ID card.
  • Academic transcripts from their most recent studies.
  • Certificates or diplomas for qualifications they have completed.
  • A language certificate such as IELTS or TOEFL, where the programme requires one.
  • A passport-style photo for the student record.
  • A personal statement, and parent or guardian contact details for applicants under 18.

Intaky’s admissions template asks for exactly these, each document next to the questions it supports. For the wider process, see how to reduce incomplete admissions applications.

Why admissions teams spend the intake chasing paperwork

  • An application arrives with a personal statement and no transcripts, and nobody notices until the interview is booked.
  • A transcript is a phone photo with the final page missing, so you have to ask again and hope the reply lands in the right thread.
  • A sixteen-year-old applies with their own email and no parent or guardian contact on the form.
  • In the week before the deadline, someone on the team writes the same "your application is incomplete" email by hand, to every second applicant.

Deciding who to admit is the job. Keeping track of which of three hundred applications are actually complete is not — and that is the part Intaky holds for you.

The student admissions application template

A starter pack for individual applicants to schools, universities and training centres. Each document sits next to the questions it evidences, applicants are not asked again for the name and email they gave when they signed up, and the application ends with their declarations. Everything below can be renamed, removed or added to in the form builder.

Applicant — questions
  • Applicant detailsDate of birth and home address; phone and nationality optional. Parent or guardian name, phone, email and relationship for applicants under 18. Documents: proof of identity, passport-style photo

Applicant — documents
  • ✓ Proof of identity Required
  • ✓ Passport-style photo Optional
  • ✓ Language certificate If the programme requires one
  • ✓ Academic transcripts Required · several files

Accepts PDF, Word, Excel and photos up to 10 MB each. Transcripts and certificates can each take several files, so a transcript for every year of study is one item, not four.

How it runs for an admissions office

01

One link per programme or intake

Make an "Autumn intake" link and a "Short courses" link. Each has its own questions, its own documents and its own public link on your subdomain, with your logo and colours, so applicants only see what applies to them.

02

Set the deadline, let reminders chase

Give the link a due date and a reminder interval, and move an individual applicant’s date when you agree an extension. Intaky emails each applicant every few days until their application is complete, only during working hours in your timezone, and stops after six reminders.

03

Review item by item

Accept the statement, send back the transcript with a note. Everything already accepted stays locked, and each decision is recorded on the case’s audit trail. Export the finished application as a PDF with its documents, or let a webhook pass it to your own system on approval.

Questions about admissions applications

How do I stop admissions applications arriving incomplete?

Give applicants one checklist link where every required answer and document is marked, and let reminders chase what is missing. Intaky shows each applicant what they still owe, emails them every few days until they finish, only during working hours in your timezone, and stops after six reminders.

What documents should a student admissions application ask for?

Proof of identity, academic transcripts from the most recent studies, certificates for completed qualifications, a personal statement, a language certificate where the programme needs one, and often a passport-style photo for the student record. Intaky's admissions template starts with all of these, and you can rename, remove or add to any of them.

How do I collect parent or guardian details for applicants under 18?

The template's applicant details section includes optional parent or guardian fields: name, phone, email and relationship to the applicant, marked for applicants under 18. You can make them required, or make a separate link for younger applicants where they always are.

Can an applicant upload several transcripts as one item?

Yes. Transcripts and certificates each accept several files, so a transcript for every year of study is one item on the checklist. PDF, Word, Excel and photos are accepted, up to 10 MB each.

What happens when an applicant sends the wrong document?

You reject that one item with a note saying what is wrong, for example a transcript missing its final page. The applicant sees the note and replaces only that item; everything you have already accepted stays locked.

Can we run separate applications for different courses or intakes?

Yes. Each application type has its own questions, its own documents and its own public link, so a foundation course and a postgraduate programme can ask for different things from the same workspace, under your own logo and colours on your own subdomain.

Does Intaky make admissions decisions or check that transcripts are genuine?

No. Intaky collects the application, documents and declarations; your admissions team reviews them, verifies qualifications and identity where you need to, and makes the decision. A webhook can push an approved case into your own systems, and the PDF export keeps a copy of each application on file.
