Intaky vs Google Forms

Google Forms file upload vs Intaky for client documents

Google Forms is free and everyone knows it, so it is the first thing most teams try for collecting documents. It runs into walls quickly with outside clients: anyone uploading a file has to sign in to a Google account, there is no way to send one file back, and nobody chases the clients who stop halfway.

The short answer

Choose Google Forms if the people uploading are colleagues who already have Google accounts, the form is a one-off, and free matters more than review and follow-up.

Choose Intaky if you collect documents from clients outside your organisation, need to review each file and send back the ones that are wrong, and want reminders to do the chasing.

What it costs

Google Forms costs nothing, and Intaky does. What you pay for is the work around the form: a review state for every document, a client portal that shows what is missing, reminders that stop when the client finishes, and an audit trail of who accepted what.

Intaky’s plans: Trial free for 14 days (15 new applications, 2 GB), Starter $49 a month (50, 10 GB), Growth $149 (250, 50 GB) and Scale $399 (1,000, 200 GB). Every plan has the whole product and unlimited team members. See pricing.

Google Forms is the better choice when

  • Everyone uploading already has a Google account, such as colleagues in your own Workspace.
  • You want responses in Google Sheets and nothing more.
  • The form is a one-off and nobody needs to be chased.
  • Budget is zero.

Intaky is the better choice when

  • Your clients do not have, or do not want to use, a Google account.
  • You need to send back a blurry passport scan without the client starting again.
  • You are tired of a spreadsheet of who has and has not sent what.
  • You need an audit trail and per-document decisions for compliance.

Questions people ask

Why does Google Forms ask people to sign in to upload a file?

Google Forms requires anyone answering a file upload question to sign in to a Google account, because the file is saved to the form owner's Google Drive. It cannot be switched off, which is why clients without a Google account get stuck.

How can clients upload files without a Google account?

Use a tool built for client document collection. With Intaky, a client opens your link, sets a password for their own portal and uploads straight into your workspace, with no Google or Microsoft account needed.

Is Google Forms secure enough for client ID documents?

Files go to a folder in the form owner's Google Drive, so they are as safe as that Drive and its sharing settings. Intaky keeps documents in private storage that is never publicly addressable, and every download checks who is asking, so a forwarded link does not expose a passport.

Can Google Forms send reminders to clients who have not finished?

Not on its own. Intaky emails the client every few days until their checklist is complete, only during working hours in your timezone, and stops after six reminders.

Can I reject one wrong document in Google Forms?

No. Google Forms has no review state per file. In Intaky you reject that one item with a note, the client replaces only that item, and everything you already accepted stays locked.

Is there a free Google Forms alternative for document collection?

Intaky has a 14-day free trial with 15 applications and no card, so you can run real clients through it before paying. After that, plans start at $49 a month.
